At a glance

HelpSide Hoops is a team-management and basketball coaching app operated by CompuCloud Inc. It processes account and team information to operate the service. Coaches and authorized users may enter information about youth athletes. AI Assist may send prompts, selected context and attachments to an external AI service to generate responses. You may request access, correction or deletion of personal information using the contact information below.

Important: We encourage users not to submit sensitive information about minors unless necessary and appropriately authorized.

1. Who we are

CompuCloud Inc. (referred to as “HelpSide Hoops,” “we,” “us,” or “our” in this Policy) operates the HelpSide Hoops mobile application, its associated services, and the helpsidehoopsapp.com website (collectively, the “Services”).

This Privacy Policy explains the categories of personal information we handle, why we handle them, when they may be shared, how they are protected and retained, and how individuals and parents or guardians can contact us about their information.

Use of HelpSide Hoops is also subject to any separately published terms, team policies or notices presented in the app. If another notice applies to a particular feature, we will explain that at the relevant point of collection.

2. Scope and user roles

The Services support basketball coaches, team administrators, staff, parents, guardians and other invited or authorized participants. Different features and information are available depending on the user's team relationship and assigned permissions.

A team organizer may provide information relating to athletes or other team participants, including minors. When a coach or another user uploads information about someone else, that user is responsible for having authority and providing appropriate notice or obtaining required permission to submit it. We are independently responsible for complying with laws that apply to our own collection, use and disclosure of information; a coach's assurance does not replace any consent we are legally required to obtain.

3. Information we collect and process

Depending on the features used, we may process the following categories:

Support and safety requestsInformation submitted in emails, bug reports, feedback, privacy requests and reports of inappropriate content, including records needed to respond or investigate.

Some fields are optional or are only collected when a particular feature is used. We do not ask users to include sensitive medical, government-identification or financial data in routine team notes, chats or AI prompts. If such details are voluntarily entered into unrestricted text fields or uploads, they may nevertheless be processed as part of that content.

4. Where information comes from

  • Directly from you when you create an account, complete a profile, create teams and events, write messages, use AI Assist or contact support.
  • From other authorized team participants when a coach, parent or administrator invites you, registers a player, records roster details or shares team content.
  • Automatically through operation of the app, backend, hosting infrastructure, authentication and security systems.
  • From service providers when they provide delivery, authentication, security, diagnostic or support information needed to operate the Services.

5. How we use information

We use information where reasonably necessary to:

  • create accounts, authenticate users and manage profiles and permissions;
  • operate teams, rosters, staff invitations, practices, schedules, events, messaging and associated workflows;
  • generate requested AI Assist responses and track usage or credits;
  • deliver transactional communications such as invitations, verification messages, password resets and important service notices;
  • maintain service availability, troubleshoot problems, secure accounts, prevent fraud and detect misuse;
  • respond to questions, privacy requests and safety reports;
  • evaluate aggregate performance and improve app reliability, usability and features;
  • meet legal obligations, investigate policy violations, establish or defend rights and protect users and the Services.

Where applicable law requires consent or another specific legal basis, we will seek or rely on that basis before processing.

6. With whom information may be shared

We do not make private team records publicly searchable through these website pages. Information can be shared or accessed in these circumstances:

  • Authorized team members. Depending on roles, team content can be visible to coaches, staff, parents/guardians or other invited participants who have the relevant permissions. Authors of messages and team content should assume authorized recipients can view or save what is shared with them.
  • Cloud and authentication providers. We use Supabase to support hosted database, storage, authentication and server functions. Data necessary for these services is processed by that provider.
  • AI processing providers. When AI Assist is invoked, relevant request content is sent to OpenAI or another disclosed configured AI provider as described below.
  • Transactional email providers. The service may use a configured email delivery provider to send invitations, security emails and support-related notifications. Such providers receive the information required to deliver those messages.
  • Website hosting and technology providers. Our website/domain infrastructure, including GoDaddy-hosted services when used, may process technical data needed to operate and secure the site.
  • Professional advisers and legal requests. Where necessary, information may be provided to legal, compliance, security or other advisers, or disclosed in response to valid legal process and lawful obligations.
  • Corporate transactions. Information may be transferred as part of a merger, reorganization, acquisition or asset transfer, subject to applicable notice and legal protections.

We seek to use service providers under appropriate confidentiality, security and processing terms, and require protections appropriate to the information they handle. We do not authorize these providers to use private HelpSide team data for unrelated marketing.

7. AI Assist and external model processing

What is sent: When an authorized user asks AI Assist a question, we may transmit the question, relevant conversation history, selected team, game, roster or practice context, and any images or other materials the user attaches or elects to include, to the model provider to generate or validate a response. Request metadata may also be processed for security, reliability and credit accounting.

Personal information: User-authored prompts and attachments can contain personal information, including youth athlete details. The application may use minimization or pseudonymization techniques in some processing paths, but users should not assume that every proper name or other identifier entered manually will be removed before provider processing. Only share information you are authorized to share and that is necessary for the coaching request.

Provider practices: External AI processing is subject to our provider arrangements and the relevant provider's applicable service and data-processing terms. We do not represent that AI requests remain entirely on your device. We do not sell your prompts to advertisers. We do not claim that AI outputs are always correct.

Human oversight: AI responses, basketball plays, diagrams and training suggestions are generated materials. They may be inaccurate or unsuitable for a given situation and should be reviewed by a responsible adult coach. AI Assist is not a substitute for medical, emergency, child-protection or other qualified professional advice.

Your choices: You may choose not to use AI Assist, refrain from attaching media, limit selected context and ask us about access or deletion of stored conversations. Requests may be subject to legal or operational retention requirements.

8. Children's and teens' privacy

HelpSide Hoops supports youth basketball teams, and we recognize that player records may concern children, including children under 13. An adult coach or guardian creating a roster entry does not automatically satisfy any legal obligation that requires direct notice to parents or verifiable parental consent.

We aim to limit information collected about children to what is reasonably needed for authorized team operations. Team administrators and other users should not upload unnecessary birth dates, contact details, images, school details, health information or other sensitive facts about children. Team members should not post children's personal information in open messages or AI prompts without an appropriate basis and permission.

If a child under 13 would use the app directly, the parent/guardian and the operator must ensure any consent, notice, verification or other protections required by the Children's Online Privacy Protection Act (COPPA) or other applicable rules are in place before the child's personal information is collected or used. We may limit or suspend access to a feature if we cannot meet those requirements.

Parent and guardian requests: A parent or legal guardian may contact us to ask what information we maintain about a child, request review, correction or deletion, or revoke permission for further collection or use, as permitted by law. We will take reasonable steps to verify parental or guardian authority before giving access to child records or acting on a sensitive request. Requests may affect the child's participation in features that require that information.

If we learn that personal information of a child has been collected or used without legally required consent, we will evaluate the circumstances and take appropriate steps, including restricting processing, obtaining required consent or deleting information as required by law.

Please contact support@helpsidehoopsapp.com with the subject Parent or Guardian Privacy Request. Do not include copies of a child's identity documents or sensitive records in an initial unencrypted email.

9. Team content, visibility and user responsibility

Team data is designed to be accessed based on account authorization, team membership and user roles. A team owner, coach, parent or other participant may have different permissions. We take steps to limit unauthorized access, but information shared with other authorized members cannot be guaranteed to remain confidential after those recipients view, copy, screenshot or disclose it independently.

People using the Services must respect the privacy and rights of others, especially minors. Do not post harassment, threats, intimate imagery, or personal information you are not authorized to disclose. Please report suspected misuse to support@helpsidehoopsapp.com.

10. Retention, account deletion and backups

We keep personal information for as long as reasonably necessary to provide the requested Services, maintain account and team records, resolve disputes, prevent misuse, support security, and meet legal obligations. Actual periods depend on the data type, feature, account status, applicable law and whether information is part of another authorized user's team records.

You can ask to delete your account and associated personal information by using the in-app account-deletion control where available or by emailing support@helpsidehoopsapp.com with the subject Account Deletion Request. We may need to verify your identity. We will explain if additional processing time is required and confirm completion as applicable.

Deleting an account may remove profile information and user-generated content, while some information may be retained where required by law or where a valid and lawful basis applies. Team-associated records may also require coordinated handling so that deletion does not improperly expose or corrupt information belonging to other users; any retention will be limited to what is justified by applicable law and disclosed when relevant. Residual copies may remain temporarily in restricted backups until those backups are overwritten under routine schedules, unless earlier removal is legally required.

Removing the app from a device does not automatically delete the account or server-stored data. Revoking permission or requesting deletion may restrict access to team features that depend on that information.

11. Access, correction, deletion and other privacy rights

Depending on where you live and the law that applies, you may have rights to:

  • know what categories of personal information we collect and how we use or disclose them;
  • request access to or a copy of information associated with you;
  • correct inaccurate profile or other personal information;
  • request deletion of eligible personal information;
  • withdraw consent where consent is the basis of processing;
  • object to or restrict particular processing activities, or request portability where provided by law;
  • appeal a decision about a privacy request, where an applicable law provides an appeal right;
  • exercise parent/guardian rights relating to a child as described above.

We do not require you to provide passwords or authentication codes to make a privacy request. To submit or appeal a request, contact support@helpsidehoopsapp.com and identify the nature of the request, the account email if applicable, and any team context needed to locate information. We may ask for reasonable verification through a secure channel. We will respond within the time required by applicable law.

We do not discriminate against users for exercising applicable privacy rights. Some requests may be declined or limited where legal exceptions apply, and we will explain the basis where required.

12. Information security

We use reasonable administrative, technical and organizational measures intended to safeguard information, including authenticated access controls, role-based permissions, secured communications and protected provider credentials. We evaluate and improve our safeguards as the Services evolve.

However, no online service, storage system or method of transmission is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your credentials confidential, using the Services through trusted devices and informing us promptly of suspected unauthorized access.

If we discover a security incident involving personal information, we will evaluate our legal notification obligations and notify affected parties and regulators where required.

13. Website visits, cookies and similar technologies

The static informational pages at helpsidehoopsapp.com do not themselves require a user account, set first-party advertising cookies, or include third-party advertising scripts. Standard hosting and security services may still process IP addresses, browser details and request logs when these pages are accessed. Depending on how the site is hosted or subsequently modified, essential hosting technologies or additional tracking tools may apply.

If we add analytics, advertising technology or nonessential cookies in the future, we will update disclosures and provide choices or consent mechanisms where legally required. Device, operating-system and browser settings may allow you to manage cookies or other local storage used by third-party services.

14. Processing locations and international users

We are based in the United States. We and our technology providers may process or store information in the United States or other jurisdictions in which they operate. Privacy laws and government access rules may differ from those in your home jurisdiction. Where applicable law requires specific safeguards for international data transfers, we will seek to implement those safeguards.

If a jurisdiction imposes requirements that the Services cannot yet meet, we may restrict availability there pending further compliance review.

15. Advertising, sale of personal information and marketing

As presently intended for the initial release, HelpSide Hoops does not display third-party behavioral advertising in the app and does not sell user, team or child information to data brokers or advertisers. We do not use youth athlete information to build third-party advertising profiles.

We may send account-related and service communications, including invitations and security notices. If we introduce optional marketing communications, we will provide required notices and unsubscribe or consent choices under applicable law.

If we materially change our business model or use of data, we will review applicable disclosures, permissions and opt-out obligations before those changes are introduced.

16. External links and services

The Services may link to third-party content, such as basketball drill videos hosted by YouTube, and may open external sites using the device browser. Their practices are governed by their own privacy policies. Following an external link may allow that provider to collect information according to its policies. We are not responsible for independent third-party websites or content we do not control.

Download and distribution through Apple's App Store may involve Apple's own data processing, governed by Apple's notices and terms.

17. Changes to this Policy

We may amend this Privacy Policy as the Services, technology providers, legal obligations and data practices change. When updated, we will change the “Last updated” date above and make the revised policy available at the same public URL. We will provide additional notice or seek consent if required by applicable law, particularly for material changes affecting children's information or new processing purposes.
